    Managing non-profit organizations - Part One First: The administrative body 1- Definition: It is the body that consists of members who are democratically elected from the general body of the organization, and the administrative body is considered the executive authority for the policies and objectives of the organization. Although each organization has features that distinguish it from other organizations, the responsibilities of administrative bodies and the composition of their members are similar in different types of organizations, and there is no unified model for the tasks of the administrative body, its formation, or the tasks of its members. 2- Specifications of a successful administrative body: In order for the administrative body and its work to be successful, the following factors must be present: Provides leadership and skills among its members. The backgrounds and experiences of its members are complementary. It has expectations and perceptions, which can be applied, about improving the performance and business of the organization. Its members have a clear and shared perception of the organization's goals, and have a commitment to those goals. Its members must have sufficient skills and abilities. It has strong communication and public relations channels. It deals openly with any problem that obstructs the work of the body or organization. It works according to a work program with specific tasks and timings. It constantly monitors the organization's work and evaluates the results periodically. She has communication with the organization’s departments and employees. 3- Obstacles to the success of the administrative body: Weak standards for electing members of the administrative body. The organization's directions and policies are not defined by members in a precise and written manner. The adoption of administrative body members on ideas outside the interests and goals of the organization. The administrative body does not inform employees and members of the General Authority of developments in the organization’s work. The Authority neglects the tasks assigned to it, either due to weak resources, its reliance on the Executive Director and employees to carry out the work, or the lack of time among the members of the Administrative Body. Poor knowledge of NGO management methods. 4- Members of the administrative body: 4-1 President and Vice President: Chair specifications: •Committed to the organization’s goals, objectives and programs •He has leadership qualifications (encourages those around him, innovates new means and areas of work for the organization, works to develop the work,...) •He has high communication and communication skills •He enjoys the trust and respect of the members of the administrative body •Allows sufficient time to work in the organization Duties and responsibilities of the Chairman of the Administrative Body: •Heading the work of the administrative body and the general body •Leading the administrative body in the planning process and designing programs and activities •Incorporating diverse opinions into the administrative body •Encouraging the participation of all body members •Representing the organization before official and judicial bodies •Supervising all the work of the organization and its committees •Participating in receiving the organization’s delegations and introducing them to them •Supervising the organization’s various activities and requesting those concerned to prepare evaluation reports •Ensuring that the organization fulfills its obligations and implements its agreements •Open communication channels with civil and official bodies concerned with the organization’s objectives •Help and encourage participation in the decision-making and decision-making process in the organization •Developing team spirit among members and employees of the organization, and the Vice President performs all the duties of the Chairman of the Administrative Body in his absence. 4-2 Secretary (General Secretary): He is the person responsible for the clerical work of the administrative body, keeping its records, and preparing its correspondence with official bodies, and is administratively linked to the head of the administrative body. Secretary specifications: •To have high administrative and writing skills Duties and responsibilities of the Secretary: •Writing and keeping minutes of administrative body meetings •Coordinating with those concerned with preparing the schedule of administrative body meetings •Writing notices to members about regular and emergency body meetings •Preparing the organization’s messages related to communication with official authorities •Preparing messages related to the organization’s election procedures and supervising their delivery to members •Following up the consistency of the work of the administrative body with the organization’s statute •Developing a system for keeping the organization’s records •Preparing the organization’s annual administrative report 4-3 Treasurer (Treasurer): He is the person responsible for carrying out all the financial and accounting work of the organization, whether by himself or by following up with the organization’s accountants, and he is administratively linked to the president. Duties and responsibilities of the treasurer: •Implementing the decisions of the administrative body regarding external financial transactions •Provide a periodic description of the organization’s financial situation •Keeping financial books and documents at the organization’s headquarters •Collecting and depositing the organization’s revenues and funds •Preparing the annual financial report •Continuous search for sources to finance the organization and develop its resources •Supervising the preparation of budgets for the organization’s programs and activities
